Privacy Policy
PRIVACY POLICY
Effective Date: September 16, 2026
ARK Muzik, LLC DBA CloudLogix (“CloudLogix,” “we,” “us,” or “our”) provides field-service and customer-relationship management software, mobile applications, websites, APIs, support, and related services (collectively, the “Services”). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information.
This Policy applies to CloudLogix account holders, users, website visitors, support contacts, technicians, and other people who interact directly with CloudLogix. Businesses using CloudLogix may submit information about their customers, personnel, and other individuals. For that information, the business customer generally determines why and how it is processed, and CloudLogix generally acts as its processor or service provider. Questions about a business customer’s practices should be directed to that customer.
1. INFORMATION WE COLLECT
A. Account and profile information. We may collect names, business names, job titles, addresses, email addresses, telephone numbers, usernames, authentication information, company memberships, roles, permissions, timezone, preferences, subscription details, and legal-policy acceptance records.
B. Customer and operational records. Customers may submit customer contacts, service locations, properties, jobs, work orders, schedules, estimates, agreements, invoices, payments, inventory, installed systems, monitoring-account information, inspection records, notes, messages, photos, documents, signatures, and other business records.
C. Location and technician telemetry. If enabled and permitted on a device, we may collect precise or approximate GPS coordinates, timestamps, route points, speed, heading, accuracy, device status, session and clock-in status, and related information. Background collection may occur when the technician application is not visibly open if “Allow all the time” or equivalent permission is granted and tracking is enabled. Location may be associated with a technician, company, job, device, or vehicle.
D. Device, usage, and log information. We may collect IP address, browser and device type, operating system, application version, identifiers, language, referring pages, pages and features used, clicks, crash and diagnostic information, API activity, login and security events, cookies, and approximate location derived from IP address.
E. Payment and transaction information. We collect subscription, invoice, payment status, transaction reference, last four digits or brand where provided by a processor, merchant configuration, and billing contact information. Card and ACH credentials may be entered directly into NMI or another provider’s hosted fields and tokenized. In ordinary operation, CloudLogix is designed not to receive or store full card numbers, card security codes, or full bank account numbers.
F. Communications and support. We collect support tickets, feedback, chatbot conversations, email and in-platform messages, attachments and photos, call-related notes submitted by users, announcements, ratings, and responses. If an AI support agent cannot verify an answer, relevant conversation context may be used to create a support ticket.
G. Imports, integrations, and AI activity. We may process uploaded files, source-system exports, calendars, field mappings, staged records, previews, validation results, rollback data, prompts, AI outputs, cited knowledge-base sources, confidence indicators, and audit logs. We collect information received from integrations authorized by a customer, such as accounting, mapping, email, payment, or calendar providers.
H. Information from other sources. We may receive information from your employer or contracting company, administrators, invited users, service providers, integration partners, payment providers, publicly available sources, and people who communicate with us.
2. HOW WE USE INFORMATION
We use personal information to:
• provide, operate, authenticate, and maintain the Services;
• create accounts, manage subscriptions, enforce plan limits, and process transactions;
• schedule and dispatch work, display live fleet information, record routes, calculate operational metrics, and support time and workforce functions;
• create, send, sign, and manage estimates, agreements, work orders, invoices, notifications, and support communications;
• stage and complete imports, provide previews, detect errors and duplicates, and support rollback;
• provide AI-assisted support, guidance, mapping, summaries, and configuration tools;
• personalize settings and apply company branding;
• secure accounts, prevent fraud and abuse, troubleshoot, audit, monitor availability, and investigate incidents;
• provide customer service, answer requests, improve knowledge-base content, and train personnel;
• analyze and improve performance, usability, reliability, and features;
• comply with law, enforce agreements, protect rights and safety, and resolve disputes; and
• create aggregated or de-identified information that does not reasonably identify an individual.
3. LOCATION INFORMATION
Location collection depends on customer configuration, work status, device permissions, operating-system behavior, network availability, and battery settings. A company administrator may view recent or historical technician location and route information for its company. Location may be used for dispatch, live fleet visibility, job coordination, route history, mileage or operational analysis, safety review, and attendance-related workflows configured by the customer.
Technicians can manage device permissions through operating-system settings, but disabling permission may prevent tracking and related features from working. A technician should contact the employing or contracting company regarding workplace tracking policies and applicable rights. Business customers are responsible for providing required notices, obtaining required consent, limiting access, and using location information lawfully. CloudLogix location features are not emergency services and should not be relied upon for emergency response or continuous, exact tracking.
4. HOW WE DISCLOSE INFORMATION
We may disclose personal information:
A. To the customer and authorized users. Company administrators and authorized users may access information within their company’s workspace according to roles and permissions.
B. To service providers. We use providers for hosting, infrastructure, security, mapping, geocoding, communications, payment tokenization and processing, AI processing, analytics, file storage, and support. They may process information only to provide contracted services and are subject to appropriate obligations.
C. To integrations chosen by customers. When a customer connects an integration or directs an export, we disclose information as requested. The receiving service’s terms and privacy policy apply.
D. For legal and safety purposes. We may disclose information when we reasonably believe it is required by law, subpoena, court order, or legal process; to protect rights, safety, and security; to investigate fraud or abuse; or to enforce agreements.
E. In a business transaction. Information may be disclosed in connection with due diligence, financing, merger, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate protections.
F. With consent or direction. We may disclose information when you or the relevant customer directs or authorizes us.
5. WE DO NOT SELL PERSONAL INFORMATION
CloudLogix does not sell personal information for money. We also do not share personal information for cross-context behavioral advertising and do not use personal information for targeted advertising as those terms are defined by applicable U.S. state privacy laws. We do not knowingly sell or share the personal information of individuals under 18. If our practices change, we will update this Policy and provide choices required by law before the change applies.
6. COOKIES AND SIMILAR TECHNOLOGIES
We may use cookies, local storage, session technologies, and similar tools to keep users signed in, remember settings, secure accounts, measure performance, diagnose problems, and operate the Services. Essential technologies are necessary for requested functionality. Browser controls may block some technologies but may cause features to fail. We do not currently use these technologies to sell personal information or serve cross-context behavioral advertising.
7. ARTIFICIAL INTELLIGENCE
When AI features are enabled, CloudLogix may send the minimum reasonably necessary prompt, staged data sample, support context, or knowledge-base material to the configured AI provider. Depending on the request, this may include personal information contained in Customer Data. Company users do not receive or view platform AI credentials.
We may retain AI prompts, outputs, sources, confidence scores, decisions, and related audit information to provide the feature, investigate issues, improve support, and demonstrate accountability. AI output is reviewed or approved by users where the workflow provides review. Customers should avoid submitting information that is unnecessary for the requested task. Provider processing is governed by our provider arrangements and, where applicable, the provider’s terms.
8. DATA SECURITY AND ENCRYPTION
CloudLogix uses administrative, technical, and physical safeguards designed to protect personal information. These include access controls, authentication, tenant and role restrictions, logging, backups, secure development and maintenance practices, transport encryption such as TLS, and encryption or equivalent cryptographic protection for designated sensitive fields and files at rest. Payment providers may tokenize payment credentials so CloudLogix stores a token rather than full payment details.
Encryption reduces risk but does not make any system immune from compromise. No internet transmission, device, storage system, or security process is completely secure. Customers and users must protect credentials, devices, API keys, and exports; use appropriate permissions; and notify us promptly of suspected unauthorized access.
9. DATA RETENTION
We retain information for as long as reasonably necessary to provide the Services, maintain business and security records, comply with law, resolve disputes, enforce agreements, and fulfill the purposes described in this Policy. Retention varies by data type, account status, customer settings, contractual requirements, backup cycles, legal holds, risk, and operational need.
After account termination, information may remain for a limited period in active systems and longer in protected backups until overwritten under ordinary schedules. We may retain transaction, consent, audit, security, support, and legal records as required or reasonably necessary. We may retain aggregated or de-identified information indefinitely. Business customers control retention and deletion of many records in their workspaces.
10. YOUR PRIVACY CHOICES AND RIGHTS
Depending on where you live and subject to exceptions, you may have rights to request access, confirmation, correction, deletion, portability, or a copy of personal information; to restrict or object to certain processing; to withdraw consent; to appeal a denied request; and to opt out of sale, targeted advertising, sharing, or certain profiling. Because CloudLogix does not currently sell personal information or use it for targeted advertising, an opt-out may not change our current practices.
You may update certain account information in the Services and manage mobile location permission in device settings. To exercise a right regarding information controlled by a CloudLogix business customer, contact that customer first. We will assist customers as required. For information CloudLogix controls directly, email info@cloudlogixcrm.com. We may verify identity and authority, and an authorized agent may be required to provide proof of authority. We will not unlawfully discriminate against you for exercising a privacy right.
11. CHILDREN
The Services are for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child provided personal information, contact us so we can investigate and delete it where required. Customers must not use the Services to collect children’s information without all legally required authorization and safeguards.
12. INTERNATIONAL USE
CloudLogix is based in the United States. Information may be processed and stored in the United States and other locations where our providers operate. These locations may have different data-protection laws. Where required, we use appropriate contractual or legal mechanisms for cross-border transfers. Customers must ensure their use and international transfers comply with applicable law.
13. EMAIL, TEXT, AND NOTIFICATIONS
We may send service, security, billing, support, legal, and account communications. Some are necessary to provide the Services and cannot be opted out of while the account is active. Marketing communications, if any, will include legally required choices. Message and data rates may apply to mobile communications. Customers are responsible for consent and compliance for communications they send through the Services.
14. THIRD-PARTY LINKS AND SERVICES
The Services may link to or integrate with third parties. CloudLogix does not control their independent privacy practices. Review their policies before providing information. Enabling an integration authorizes the exchanges described during setup or requested by the customer.
15. CHANGES TO THIS POLICY
We may update this Privacy Policy to reflect changes in law, technology, features, or practices. We will post the updated version and effective date and provide additional notice or request renewed acknowledgment when required. Material changes apply prospectively unless law permits otherwise.
